For your team

Every pula recorded twice, and proven at the close.

The five questions a finance team asks before a counter network goes live, each answered with the screen it would use.

Question 1

How does a till close?

Each counter opens on a declared float. At the close the teller counts the cash, the system shows what it expects, and any variance is recorded against that till with the supervisor who signed it off.

Close of day, Outlet 014Till 2
Opening floatP 20,000.00
Cash taken inP 14,850.00
Cash paid outP 2,310.00
Expected in the tillP 32,540.00
CountedP 32,540.00
Variance, P 0.00Balanced

Question 2

How is commission earned?

Per transaction, at the rate set for that service in the catalog, and posted with the sale. What the network is owed is a ledger balance you can open at any hour.

Question 3

How do providers get paid?

Through the settlement bank you appoint, on each provider's own terms: in real time by API, in a nightly file, or through an assisted connector. Every settlement line traces back to the receipts it covers.

Settlement from Outlet 014, today
Partner Bank, deposits by APIP 24,000.00
Partner Bank, withdrawals reimbursedP 15,000.00
Partner insurer, premiums by fileP 4,500.00
Partner Bank, loan repayments by APIP 11,000.00

Question 4

What happens when the numbers disagree?

The daily match puts counter takings, provider statements and the bank side by side. Anything that disagrees becomes an exception with an owner and a deadline, worked in the back office until it clears.

Exceptions
Partner insurer, 1 premium missing from the fileDue 16:00
Outlet 031, cash banked lateDue tomorrow
Partner Bank, duplicate statement lineCleared

Question 5

Which reports will I have?

The trial balance at any hour, commission, settlement, float and cash, variance by till and exception ageing, each with the figures behind it.
